Search, filter, and save views

The Invoices page uses Mod AI's unified data-table — the same toolbar pattern you'll see on Purchase Orders, Receipts, Vendors, People, Fields, Approvals, and Settings list pages. Learn it once, you can navigate every list page in the product.

This article describes the toolbar from left to right.

Saved view tabs

The row of tabs at the top of the page is your saved-view bar. System tabs show the major invoice work states, plus any custom views you've created.

System tabs

TabWhat it shows
AllEvery invoice in the current company that is not archived. The default landing tab.
Needs Review (count)Invoices that still need AP review or validation work.
Pending Approval (count)Invoices waiting in an approval chain.
Exported (count)Invoices already exported or synced to the ERP.
Archived (count)Invoices archived out of the active workflow.

The count next to each system tab updates as invoices move through the workflow.

Custom views

Click New view at the right end of the tab bar to create a custom saved view from your current filters, columns, and sort order. See Saved views below.

Manage menu

Every tab has a Manage dropdown next to its name (sometimes shown as a small or chevron). Use it to rename, share, set as default, or delete a view. System tabs can be renamed but not deleted.

The search box matches text across multiple fields simultaneously:

  • Vendor name
  • Invoice number
  • Amount
  • Memo, PO reference, and other extracted fields

Results filter as you type — no need to press Enter.

Filter

Click Filter to open the filter rules panel. You add rules one at a time, and rules combine with AND logic (an invoice must match every rule to appear).

Available filter fields include:

The filter list is dynamic — for example, the Vendor operator's value list only shows vendors that appear in your invoices, and the Status operator shows live counts per status.

Click the X next to any rule to remove it. Click Clear all to wipe every rule.

Sort

Click the Sorted by (column name) button in the toolbar to open the sort menu and pick a different column or direction. You can also click any column header directly — first click sorts ascending, second click flips to descending, third click clears sort. The active sort column shows a small arrow indicator.

Columns

Click Columns to open the column-visibility panel. Toggle individual columns on or off. Drag the column-header edge to resize. Your column choices save to your profile, per saved view.

Available columns include Vendor, Invoice Number, Invoice Date, Due Date, Total Amount, Status, Currency, PO Number, Uploaded, Approval, and integration-specific columns where applicable.

Saved views

Saved views capture the full state of the toolbar — filters, sort, column visibility, column order — under a name. They appear as tabs and let you switch contexts instantly.

Create a saved view

  1. Set up your filters, columns, and sort the way you want.
  2. Click New view at the right end of the tab bar.
  3. Give it a name (e.g., "Pending Validation — Past Due").
  4. Click Save.

The new view appears as a tab and becomes active.

The dirty-state pill

When you modify a saved view (change a filter, hide a column, change sort), a small pill appears in the toolbar showing the view is unsaved. The pill has two actions:

  • Save — overwrite the saved view with the current state.
  • Reset — discard your changes and return to the saved state.

The pill only appears while there are unsaved changes. Switching to a different tab without resolving the pill abandons the changes for that view.

Default view

Use the Manage dropdown on any tab to set it as the default — that view will be the one selected when you first load the page. Each user has their own default.

tip

High-value saved views to consider:

  • Needs Review — invoices in Pending Validation waiting on your input.
  • My Pending Approvals — invoices where you're the assigned approver.
  • High Value — invoices above a dollar threshold for extra scrutiny.
  • Past Due — invoices with a Due Date in the past.
  • Has Notices — invoices with unresolved validation notices.

Bulk actions

Selecting one or more rows (via the checkbox column) reveals the Bulk actions menu in the toolbar. Available actions depend on the rows you've selected and your permissions. See Bulk actions.
