Review an invoice

Use the invoice detail page to compare the source document with the invoice, correct fields, and resolve anything that needs attention.

Who can do this

You need the company:invoice:view permission to open an invoice. You also need company:invoice:edit to change its fields or lines.

Before you start

  • Open an invoice that you can review from Invoices or Tasks.
  • Keep the source document available when you need to check an extracted value.

Steps

  1. Open Invoices in the left sidebar, then select the invoice you want to review.
  2. Use the document rail beside the work area to compare the invoice with its source. The rail tabs are Invoice, Ask Clark, and Activity.
  3. Check the header fields against the source document. Header fields come from your company schema, so the fields may differ between companies.
  4. Review the sections of invoice lines below the header. The sections are stacked, and they are not tabs. See Review invoice line items for the two available views.
  5. Check the notice chips in the invoice title area. A chip may show a count such as 4 Exceptions or 8 Warnings.
  6. Correct any editable field that does not match the source. Your change saves automatically, so there is no separate save step.
  7. Open Activity in the document rail when you need to add a comment or read the record of changes.

What you should see

The source document stays beside the invoice on a wide screen, while the work area shows the header, stacked line sections, notices, and actions available for the invoice.

The exact header fields depend on your company schema. For example, one configured workspace shows Tax Amount and Total Amount in the header, while Subtotal appears in the line footer. These labels and placements are not universal.

If something goes wrong

  • If you cannot edit a field, it may be derived, locked by a relationship, or unavailable in the current invoice state. Open the lock explanation when one is shown.
  • If an exception or warning remains after a correction, open its title-area chip and read the affected field before changing more data.
  • If the source document is missing, check Activity for intake context or ask a teammate before approving the invoice.
