Receipts overview
Receipts in Mod AI are receiving documents (also called goods receipts or delivery confirmations) synced from your ERP. They confirm that goods or services on a PO were actually received.

Receipts list with receipts from multiple vendors showing Receipt Number, Transaction Date, Vendor, Total Amount, and Uploaded columns.
How receipts arrive
Receipts sync automatically over your ERP integration. When a receipt is created or updated in your ERP, it syncs to Mod AI on the next cycle. There is no manual upload for receipts.
Receipts are synced from your ERP. To create or modify receipts, use your ERP. Mod AI mirrors the data read-only.
Why receipts matter
Receipts enable three-way matching, the most thorough verification before payment. Three-way matching compares:
- Invoice (what the vendor says you owe).
- Purchase order (what you agreed to buy).
- Receipt (what you actually received).
Checking all three confirms that the vendor is billing for goods or services that were both ordered and received. It catches invoices for items that never arrived, partial shipments billed at full price, and quantity discrepancies between ordered and delivered.
Without receipts, Mod AI can still do two-way matching (invoice to PO). Three-way adds the receiving verification that many organizations require. See Matching.
Open the receipts list
Click Fields in the left sidebar, then select the Receipts tab. The tab is available when your integration syncs receipts.
The receipts list
Key columns:
- Receipt Number, from your ERP.
- PO Reference the receipt is tied to.
- Vendor the goods or services came from.
- Date the receipt was created.
- Status. See Receipt Statuses.
Filters, sort, column visibility, and saved views are the same as the other document lists. See Searching and Filtering Receipts.
The receipt detail page
Click a receipt to open it. You see:
- Header information (receipt number, PO reference, vendor, date, status).
- Line items, each with description, quantity received, and unit details. Items tie to your ERP item master where applicable.
- Linked PO, with a link to the PO detail.
- Matched invoices, with links to each.
Read-only data
All receipt management (creating, editing, voiding) happens in your ERP. Mod AI shows the data for reference and matching.
If receipt data looks wrong, correct it in your ERP and wait for the next sync.
How items connect
Receipt line items reference your ERP item master where applicable. The agent uses that linkage during three-way matching to confirm received quantities and descriptions align with what the invoice bills. If a vendor bills for items that were not received, the validation rule surfaces a validation failure notice.
