Use the Inbox

Use the Inbox to review messages sent to your company's AP mailbox and decide what should happen to each attachment.

Who can see this

You need the company:inbound_emails:view permission and the email capability for your company. Actions that change a sender rule or attachment decision also require the relevant email permission.

Emails and Inbox use different names

Select Emails in the left navigation to open the Inbox page. The navigation label is Emails, while the page, route, and this help-center section continue to use Inbox.

Find email that needs attention

The Inbox groups related messages into threads. Use the status tabs to choose a queue, then use the scope control when you want to narrow the list to work assigned to you.

Current tabs can include All, Needs Review, Held, Blocked, Failed, and Processed. The scope control offers All records and Needs my action where those scopes apply. The tabs and counts you see can differ based on your company's configuration and your email visibility.

Use the toolbar above the thread list:

  • Search inbound email searches the sender and subject fields available in the Inbox.
  • Filter adds rules for the current list.
  • Sort changes the order of the threads.
  • Columns changes which list columns are visible.
  • New view saves the current list setup when the active tab allows saved views.

Review a thread

  1. Select Emails in the left navigation.
  2. Choose the status tab and scope that contain your work.
  3. Select an email thread from the list.
  4. Read the newest message and expand earlier messages when you need more context.
  5. Select an attachment in the thread to open its viewer.
  6. Read the attachment outcome, any notice, and any linked invoice before choosing an action.

The attachment action applies only to the attachment open in the viewer. Another attachment in the same thread can have a different result or still need review.

Decide what an attachment contains

When Clerked cannot classify an attachment safely, the viewer can offer these actions:

  • Not an invoice leaves the file out of invoice processing.
  • This is an invoice processes it as one invoice.
  • These are multiple invoices opens Review invoice pages so you can confirm the page groups.

Review sender policy

Some email pauses before attachment work starts because the sender needs a decision. Read the sender and message context, then choose Trust or Block. The confirmation dialog lets you apply the rule to the exact sender or the sender's domain.

Move between an email and its invoice

When an attachment creates an invoice, use the invoice link in the thread to open it. On the invoice page, select View email under the invoice title to return to the source thread.

What you should see

The selected thread stays beside its message and attachment details. After you make an attachment decision, the outcome and any created invoice links update in that thread.

If something goes wrong

  • If Emails is missing from the navigation, ask an administrator to check your company:inbound_emails:view permission and company capability.
  • If an attachment action is missing, the attachment may still be processing, the email may be blocked, or your role may not allow triage.
  • If a PDF cannot be read, use the available retry or password control in the attachment viewer, then check the outcome again.
