Delegate approvals
Create a delegation when a colleague needs to act in your approval seat while you are unavailable.
Who can do this
You need company:delegations:manage_own to create and revoke your own delegations. You need company:approvals:manage to create or revoke a delegation for another employee.
Before you start
Your user account must be linked to an employee record in the current company. If the page shows Employee record required, ask an administrator to create or link your employee record.
Create your delegation
- Select Settings in the main sidebar.
- Select Delegations under My Settings in the Settings sidebar.
- Select Add delegation beside Your delegations.
- Choose a colleague in Delegate To.
- Enter the first day of coverage in Start Date.
- Enter the last day of coverage in End Date.
- Select Create delegation.
The start and end dates are inclusive and use the company's configured timezone. Your delegate can act for your approval seat during that period.
Revoke your delegation
- Open Settings, then Delegations under My Settings.
- Find the delegation under Your delegations.
- Select Revoke delegation in its row.
- Read the Revoke delegation confirmation.
- Select Revoke.
There is no edit action. To change the delegate or date range, revoke the current delegation and create another one.
Create coverage for another employee
- Select Settings in the main sidebar.
- Select Delegations under Company in the Settings sidebar.
- Select Create on behalf above the table.
- Choose the employee in Create on behalf of.
- Choose the colleague in Delegate To.
- Set the start and end dates, or select No end date when company policy allows it.
- Select Create delegation.
Company administrators can use Revoke delegation in the table and confirm Revoke to end coverage immediately.
Delegation rules
- A self-created delegation has a finite date range, and a same-day range is allowed.
- Active date ranges cannot overlap for one delegating employee.
- A delegation is single-hop, so your delegate cannot pass your approval seat to someone else.
- Direct membership in the approval policy takes priority when the delegate is also assigned directly.
What you should see
Your delegations lists coverage you created, while Delegations to you lists approval seats assigned to you. During an active delegation, the invoice route identifies an action taken for the original approver.
If something goes wrong
- If Add delegation is missing, confirm that you have
company:delegations:manage_own. - If the form rejects the dates, make sure End Date is the same as or later than Start Date and does not overlap another active window.
- If the delegate cannot find the work, confirm that the date window is active and that the original approver is assigned to the current route step.
