Upload invoices

Upload invoice files from your computer when email intake or manual entry is not the right path.

Who can do this

You need the company:invoice:upload permission.

Before you start

Clerked accepts PDF, image, spreadsheet, and DOCX files. Supported extensions include .pdf, common image formats, .csv, .xlsx, .xls, .xlsm, and .docx.

Steps

  1. Open Invoices in the left sidebar.
  2. Find the separate Upload {document} button in the page header. The document noun comes from your company schema, so one company may see Upload Invoice while another sees its configured record name.
  3. Select Upload {document} to open your computer's file picker.
  4. Choose one file, or select several files for a batch.
  5. Confirm the selection in your computer's file picker.
  6. Follow each file in the upload tray while it moves through the upload stages.

Manual entry and Upload {document} are separate page-header actions with separate permissions.

What you should see

The upload tray shows each selected filename and its progress. After a file is received, a new invoice appears in the list and processing continues in the background.

If something goes wrong

  • If the page-header upload action is missing, ask an administrator to check your company:invoice:upload permission.
  • If an upload fails, use the retry control beside that filename in the upload tray. Its accessible label starts with Retry and includes the filename.
  • If upload finishes but invoice processing reaches a terminal error, open the processing error notice on the invoice. Do not create a duplicate invoice just to retry processing.
