Triage inbound email
Use inbox triage when an email needs a person to decide whether it is relevant, safe, and ready for processing. The threaded list gives you the context first, and the inline attachment viewer keeps the decision in the same workspace.
The Agent handles the confident cases for you. Each attachment receives its own result. Attachments identified as invoices can move into processing automatically, while uncertain attachments stay in Needs Review for your decision.
Find email that needs attention
- Click Emails in the left sidebar.
- Choose Needs Review, Blocked, Failed, or another available status tab.
- Choose Needs my action in the scope control when you want to see work assigned to you.
- Use Search inbound email when you know part of the sender or subject.
The row shows the received date and time, sender, subject, preview, status, attachment count, and invoice count. Start with the row that has the status or label your team uses for the next decision.
Review before you decide
- Open a thread from the filtered list.
- Read the sender, subject, message body, and earlier replies. Expand the earlier-message control when the conversation is long.
- Click each attachment and read its review state, notices, and linked invoice information in the inline panel.
- If the PDF contains several invoices, select These are multiple invoices and follow Review invoice pages in a multi-invoice PDF.
- Read the email status banner and any sender-policy issue before choosing an action.
Resolve a sender-policy decision
Some messages pause before attachment processing because their sender-policy validation needs a person. Read the status banner and message context, then choose the action that matches your decision:
- Trust opens a dialog where you choose the exact sender or domain to add to the allowlist.
- Block opens a dialog where you choose the exact sender or domain to add to the blocklist.
The policy change causes affected waiting email to rerun validation. Blocked email remains blocked until someone explicitly chooses Reprocess, so a later policy edit cannot unexpectedly reopen old mail. See Review sender policy and email status for the confirmation and result states.
Confirm an uncertain attachment
- Open the attachment from the work queue.
- Read the message context and the attachment review state.
- Select This is an invoice when the attachment should enter invoice processing, or select Not an invoice when it is another kind of document.
- If the attachment contains multiple invoices, select These are multiple invoices and confirm the page groups before processing.
The decision applies to the attachment open in the viewer, not to every attachment in the thread. Confident invoice attachments can skip this manual classification step; the queue is for the cases where the agent needs your confirmation.
If another attachment in the same email needs review, open it separately and check its own result. The per-attachment route keeps a confident invoice moving without making you repeat the decision for every file in the thread.
Unlock a password-protected PDF
When a vendor sends a password-protected PDF attachment, open that attachment and use the in-product unlock step to enter the password supplied by the vendor. After Clerked accepts a valid password, processing continues from the same email workflow. You will not get a browser password prompt or need to start the document over.
The same unlock step is available for a password-protected PDF that someone uploads directly. If you do not have the password, leave the document in its current review state and ask the vendor for it before continuing.
Choose the attachment action
For an attachment awaiting classification, select This is an invoice to process it as an invoice or Not an invoice to leave it out of invoice processing. The action applies to the attachment shown in the viewer, not to every attachment in the thread.
After the action completes, check the new status and result message before leaving the thread. If the attachment creates an invoice, use the invoice link in the thread to continue review. The invoice detail page can also take you back through View email.
Keep the queue useful
- Use Needs my action when you are working your assigned queue.
- Use New view to save a repeatable review group, including its filters and sort choices.
- Leave a thread in its review state until the decision your team expects is complete.
- If the message is part of a longer exchange, follow Keep vendor replies together before acting.
The exact priority labels, field names, action buttons, permissions, and invoice wording come from your inbox schema and role. Your workspace may use a different label for the same kind of work.
