Keep vendor replies together
The inbox groups related vendor replies into one conversation so you can make a decision with the full history in view. A later message can still carry its own attachments and review state, so check the message that owns the attachment before you act.
Read the conversation
- Open Emails and select the vendor thread.
- Read the newest message, then expand earlier messages when you need the prior request or answer.
- If the thread shows an earlier-message control, click it to reveal the hidden middle messages.
- Open Show email details when you need the sender, recipients, or copied addresses.
- Review attachments under the message that contains them. Select an attachment to open its review panel or linked invoice.
Short threads show each message in order. Long threads keep middle messages collapsed until you expand them while keeping the newest message visible for the current decision.
Move between an email and its invoice
When a thread has produced an invoice, use its linked invoice control to open invoice review. On the invoice detail page, click View email to return to the source thread. The link opens the same conversation, so you can check the original body, sender details, and attachment without searching for the message again.
Review a reply before acting
Read the message history before you choose a triage action or approve an invoice created from the thread. A later reply can explain a corrected amount, a changed invoice, or why an earlier attachment should not be processed.
If a draft vendor reply needs review, use the draft card on the latest message and follow the controls your role provides. Keep the conversation open until the draft result and any attachment action are clear.
Send a reviewed vendor reply
- Open Emails and select the thread with the draft card.
- Read the recipient, subject, message history, attachments, and proposed reply. Edit the reply only when the reviewer should change the exact text.
- Wait for the edited text to finish saving, then use the send action when a ready Gmail or Microsoft 365 mailbox connection is available.
- Check the final card state. A sent reply says it was sent through the connected mailbox, while a manually handled reply can say Marked sent or Dismissed.
If the mailbox is not connected, not ready, stale, or cannot safely place the reply in its provider thread, the card does not send a message. Use the available Copy, Open as email, Mark sent, or Dismiss action. These alternatives keep the reviewed draft and its outcome with the vendor thread without sending anything automatically.
An administrator manages the mailbox connection in Settings under the company email integration area. A reviewer should not try to work around a connection warning by sending from an unverified account.
Vendor identity in a thread
The platform can use sender and domain authentication details together with vendor records and invoice information. A verified DKIM result can support a vendor match, but an unverified sender does not decide the match by itself. If the invoice still shows Unknown Vendor, follow How vendor matching works and Resolve a vendor match.
What the April 27 release changed
The inbox now presents these messages in a timestamped thread list and keeps the source-email link available from invoice review. No separate setting is required for the new list. Your entity's configured labels, fields, and permissions control which actions appear.
Thread fields, attachment actions, linked-invoice controls, draft-reply controls, and labels depend on your inbox schema and permissions. You may see fewer controls than the examples here.
