Create custom fields
Custom fields let an administrator add the select fields your team needs to invoices and other supported records. The fields become part of your workspace schema, so the label, options, and record types available to you can differ from another workspace.
Open Custom fields
- Click Settings in the left sidebar.
- Select Custom fields.
- Choose a record type from the Custom field entities list.
The record panel shows active and archived fields for that record type. Use New field to add a field, or use the row actions to edit, archive, restore, or delete one.
Define a field
- Click New field.
- Enter a Label. The label is what your team sees on the record and in list filters.
- Choose Single-select or Multi-select under Field type.
- Add the values your team can choose under Options. Add guidance when the agent should use source evidence to choose an option.
- Select Add description when the field needs additional instructions.
- If Agent prediction is available, select Let the agent suggest this field from source evidence.
- Click Create field.
Keep option names clear and distinct. If an option is already used, archive it instead of removing it so earlier record values keep their meaning.
Filter records by a custom field
Custom fields appear in supported record lists after the definition is active.
- Open the relevant list, such as Invoices.
- Click Filter in the table toolbar.
- Select the custom field.
- Choose one or more field values, then apply the filter.
Single-select filters match one selected value. Multi-select filters can match the values available in your workspace. Save the view when your team will use the same filter again. Read Search, filter, and save views for the shared list controls.
Keep the history complete
Clerked records custom-field definition changes, including creation, edits, archive, restore, and deletion, in audit history with the change details. Changes to a custom-field value on a record are also recorded with the before and after values. The history follows the same access rules as the record and its audit feed.
When you review a record, open its Activity area to check value changes alongside the rest of the audit history. When you administer fields, use the field list and its current state to confirm whether a definition is active or archived.
Manage field access
Custom-field definition changes require the workspace permission that allows administrators to manage custom fields. People who can review a record can see the fields and values allowed by that record's permissions. If Custom fields or a field action is missing, ask an administrator to check your role.
