Ask Clark to fix an invoice

Use the Ask Clark tab to describe an invoice change, review Clark's proposal, and send follow-up instructions.

Rolling out

Clark is available to a subset of customers. If you do not see Ask Clark on an invoice, your company may not have the feature enabled.

Who can do this

You need the company:invoice:edit permission, access to the invoice, and the Clark capability for your company.

Before you start

  • Open an invoice that is ready for review and can still be edited.
  • Compare any proposed value with the source document before you apply it.

Ask for a change

  1. Select Invoices in the left navigation.
  2. Open the invoice you want to change.
  3. Select Ask Clark in the document rail beside the invoice fields.
  4. Select the composer at the bottom of the Clark panel. Before the conversation starts, it says Ask Clark to edit this invoice….
  5. Type the change you want Clark to make.
  6. Press Enter to send your message. Use Shift+Enter when you need a new line in the same message.

Clark may ask a follow-up question when the request could mean more than one thing. Answer it in the same panel so Clark can continue with the current invoice.

Write a clear request

Use the exact field labels and line numbers shown on your invoice. Say which lines should change, what the new value should be, and which values should stay as they are.

These are examples only, because your company's field labels and coding values may differ:

  • "Set the due date to net 30 from the invoice date."
  • "Split the freight charge into its own line item."
  • "Code every line to the office-supplies GL account."
  • "Make that change, but leave line 4 unchanged."

If you need another adjustment after Clark responds, use the composer labeled Send a follow-up…. Each message stays in the same conversation until you apply the proposal, leave it unchanged, or reach the 20-turn limit.

Review the proposal

Clark highlights proposed edits on the invoice instead of placing every change in a separate bottom bar. Review the current and proposed values, then include only the changes you want.

Use Include all or Exclude all when a proposal contains more than one change. Select Apply N changes to save the included changes, or select Leave all unchanged to close the proposal without changing the invoice. Read Apply selected Clark changes for the full review flow.

What you should see

The Clark panel keeps your messages and Clark's response together. When a proposal is ready, the invoice fields show which values would be added, changed, or removed, and the proposal card shows how many changes are included.

If something goes wrong

  • If Ask Clark is missing, the capability, your permission, or the invoice state does not allow a proposal. Ask an administrator to check your access.
  • If another person has an active conversation on the invoice, choose Keep waiting or Take over in the Take over conversation dialog. Taking over closes the other person's conversation.
  • If the conversation reaches its 20-turn limit, send another message from the composer to start a fresh conversation.
